UT system faculty, staff, student, and departmental email accounts can no longer be auto-forwarded to a domain other than those approved for work-related exemptions.

What are the approved and denied domains?

UTK manages a list of approved and not approved domains for the UT System.  To view this list, you will be required to log in using your NetID and password.  It will display your Active Directory Information.  Click on View Forwarding Domains from the menu on the left.  The domains in green are approved.  Those in red are explicitly denied.  Any domain not listed on this page is also denied.

What if I have a business reason for an exemption?

We continue to evaluate the use of auto-forwarding for work-related exceptions. Faculty and staff can submit an Email Forwarding Exception request to receive an exemption for qualifying email domains. You will be notified if your request has been approved or denied.

Why is the University making this change?

Forwarding your email to an external email address presents an unnecessary risk to the university. It does not relieve the university or employee from the Freedom of Information Act (FOIA) or other types of discovery. Therefore, the restrictions on email forwarding are made as part of a continuous effort to protect the university’s information.

How to forward your email account to an approved domain:

  1. Go to Email Account Management.
  2. In the Email Forwarding section, click the Manage email forwarding link.
  3. Log in with your NetID and password. Duo authentication may be required.
  4. Click Enable.
  5. Enter the address to which your UT email should be forwarded.
  6. Click Yes or No for retaining copies of forwarded mail.
  7. Click the Submit button.

Forwarding Sensitive Information in Email

When forwarding email from your UT Health Science Center account to another email account, please remain diligent and aware of protecting sensitive data including PII, FERPA, and HIPAA/PHI.
