Computing Equipment Asset Status Meanings

Summary

This article explains how to view computing assets assigned to you and provides definitions for each possible asset status. Asset statuses help determine whether a device is actively managed, needs attention, or requires follow-up with ITS.

Understanding these statuses ensures your assigned devices are accurate, compliant, and properly supported.

Prerequisites

  • You must be able to log into the TechConnect Self-Service Portal.
  • You must have at least one computing device assigned to your profile.

How to View Your Assigned Assets

  1. Click your name or Sign In in the upper-right corner of the Self-Service Portal.
  2. Sign in with your UT credentials, if needed.
  3. Select My Profile.
  4. Scroll to the bottom of the page to view My Assets.
  5. Each listed device will display a current asset status.

Asset Status Definitions

In Use
The computer is actively used. Ownership should be the assigned user or the designated Inventory Manager for the owning department.

Not In Use
The computer is expected to be unused for an extended period or is awaiting surplus. Ownership should be the assigned user or the designated Inventory Manager for the owning department.

Unhealthy, Lapsed, or Unknown
The computer has not contacted Management Systems. Asset details cannot be altered until device moves back to In Use status. Please see the Getting Your Computer Back Online and Reporting article for next steps.

Disposed
The computer has been processed as Surplus Equipment. Ownership can be removed.

Retired
The owning department has communicated that the device is intended to be processed as Surplus Equipment and has not yet been processed. Please use the Surplus Computing Equipment form to dispose of the computer.

Troubleshooting and Next Steps

If you see devices that are no longer assigned to you, or you do not see devices you are currently using, submit an Asset Management Service Request to have your records corrected.

If you have a device that is currently in use, but you will be placing it into inventory or you expect it will be unused for more than 90 days, please submit an Asset Management Service Request to have the device moved to Inventory or Not In Use status.

All asset change requests must be documented with an ITS ticket before changes are made.

Devices Requiring Attention

If any of your devices are marked:

  • Unhealthy
  • Lapsed
  • Unknown

If a device cannot be located, please report the missing device to Campus Police and submit an Asset Management Service Request with any details and a copy of the report.

All asset change requests must be documented with an ITS ticket before changes are made.

Additional Notes

  • Devices that remain offline for long periods may stop reporting and require manual intervention.
  • Leaving the device online and awake for extended periods helps ensure updates, security checks, and inventory reporting occur properly.
