Block or Remove Blocked Time on Your Calendar

Block time off in your calendar so others know when you are out of the office, in another meeting, or just busy doing something else.

These instructions work for both Windows and Mac users.

Block Time

  1. Open Outlook.
  2. Select the Calendar icon.
  3. Double-click on the calendar day and time you want to block.
  4. Type a title, such as "Winter Break" or "Annual Leave" -- Note: the subject is only visible to you!
  5. If needed, specify the date range change the Start time and End time boxes.
  6. Check the All day option if you are taking the entire day.
    1. Windows Users:
      1. Change your status to Out of Office from the Show As drop-down list under the menu options, if necessary.

      2. Click Save & Close.
    2. Mac Users:
      1. Click More Options and change your status to Out of Office at the top left, if necessary.

      2. Make any necessary changes, then click Save.
         
While this is helpful for people checking your calendar to schedule a meeting, it is different from an Out of Office auto-reply people get when they email you.

Remove Blocked Time

  1. Open Outlook.
  2. Select the Calendar icon.
  3. Right-click on the blocked time you want to remove.
    Right click to choose Delete to remove event
  4. Choose Delete. Mac Users: Click the Delete button to confirm you want to delete this blocked time.
