Outlook: What is a Shared Mailbox and How to Access It

Summary

A shared mailbox allows multiple people to read and send email from a common UTHSC address. Messages sent from the shared mailbox appear to come from the shared address rather than an individual user.

Prerequisites

  • You must be granted access to the shared mailbox by ITS or your department.
  • You must know which version of Outlook you are using. Microsoft provides a guide.

Troubleshooting

  • If you cannot see the shared mailbox, confirm with your supervisor or ITS that your access has been granted.
  • If the mailbox previously appeared but is now missing, restart Outlook or remove and re-add your UTHSC account.
  • If you receive permission errors, wait 15 minutes and try again to allow access to propagate.
  • Outlook for Mac may require manual setup under Tools > Accounts > Delegation & Sharing.
