Summary

This article explains how to reschedule an Outlook meeting using Outlook for Windows, macOS, or Outlook on the web. Updating a meeting sends an automatic notification to all attendees.

Prerequisites

  • Access to Outlook on Windows, macOS, or the web
  • Permission to modify the meeting (you must be the organizer)

Instructions

Reschedule a Meeting in Outlook (Windows, Mac, or Web)

  1. Open your Outlook calendar.
  2. Open the meeting you want to reschedule.
    • Windows: Double‑click the meeting.
    • Mac: Select the meeting, then choose Edit.
    • Web: Select the meeting, then choose Edit.
  3. Update the meeting details, such as date, time, or location.
  4. Optional: Add a note in the message body explaining the change.
  5. Select Send Update (Windows), Send (Mac), or Send (Web).
  6. Outlook will update the meeting on your calendar and send an updated invitation to all attendees.

Troubleshooting

  • If you do not see the option to edit the meeting, verify that you are the meeting organizer.
  • If attendees report not receiving the update, ask them to check their spam or junk folder.
  • Ensure your Outlook app is up to date if buttons or options appear missing.

Additional Notes

  • Rescheduling a recurring meeting updates only the selected occurrence unless you choose to update the entire series.
  • Attendees must accept the updated meeting for the new time to appear on their calendars.
